Transferring Vouchers/Accounts for Business Handovers

How to transfer vouchers, accounts and store credit to a new Bustle account as part of a business handover

Before we start (Essential Information)

  • When a venue changes hands, there are a few important decisions to make around what carries over to the new owner.

  • Things like vouchers and online payments are connected to the venue’s Stripe account, which means they sit separately under each owner and can’t be directly transferred between Bustle accounts.

  • Customer accounts and store credit aren’t tied to Stripe - but they also don’t automatically move across. These will still need to be recreated in the new owner’s account as part of the handover.

  • Before getting started, it’s important that both the previous and new owner agree on exactly what will be honoured and transferred. This should be clearly included in the sale agreement so there’s no confusion later on.

  • From a practical point of view, these balances can’t be moved automatically. Instead, the new owner will recreate what’s needed in their own Bustle account - usually by transferring the total amounts rather than individual item-by-item detail.

  • Because of this, we recommend keeping the transfer as simple as possible.

  • The owners should download any summaries or breakdowns needed for transferred customer accounts before closing their Bustle account, as this information won’t be accessible afterwards.


Transferring Bustle Online Vouchers

In short, here's what you'll be doing:

  1. Copying essential voucher details

  2. Emailing voucher holders to advice the older vouchers are no longer valid but will be replaced (either by Store Credit being set up on the till, or a new Giveaway voucher being created)

  3. Creating the new Store Credit, or Giveaway vouchers on the new Bustle Venue.

Step-by-Step

  • Head to Accounts > Vouchers on the Bustle Hub.

  • To make it easier, you can select and copy the information on the page and paste it easily into a spreadsheet.

  • Note: you won't be able to transfer the transaction history here, only the amounts.

  • Email the recipients (individually or BCC them all in one email) to advise them that they will either be getting Store Credit or a Giveaway Voucher.

    • Example below:
      Hey there,

      Just a quick heads up that your original voucher has been switched off as part of a recent change in ownership at the venue.

      The good news is you’re all sorted. A new voucher with the same value will be sent your way shortly, so you won’t lose a thing, or Store credit under your name at the till will be available.

      If you pop in before that arrives, the team will happily sort you out at the till.

  • On the new account, create either Store Credit, or Giveaway vouchers for the voucher holders. Here are the processes for both:


Transferring Customer Accounts and Store Credit

  • Decide which accounts are going to be transferred and which will be left. In these cases there are usually only a handful of accounts or store credits that are transferred. You can also quite easily copy the details and paste into a spreadsheet.

  • Note: you won't be able to transfer the transaction history here, only the amounts.

  • Should you need the summary's or breakdowns for each transferred account you will need to download these manually for each account and email them to your account holders.

  • Here's how to create the accounts and store credits in the new Bustle account. There is an option for uploading a CSV which may be a time saver for you depending on the number of them.
